CRM Pricing Comparison 2026: What You Actually Pay
Sticker prices are rarely what businesses end up paying. We broke down the real cost of Salesforce, HubSpot, Pipedrive, Zoho, and Response365 — including the add-ons, implementation costs, and tier-jump surprises that don't make it onto the pricing page.

CRM pricing is one of the most deliberately obfuscated areas in B2B software. Vendors compete on headline price while keeping their revenue-generating add-ons, tier requirements, and implementation costs out of the comparison spotlight. This article is our attempt at transparency.

Hidden Costs to Watch For
- Salesforce: The Starter tier ($25/user) excludes features that most growing businesses need within 6 months — pushing them to Professional ($80+) or Enterprise ($165+). Einstein AI is a separate purchase. Implementations frequently require a certified Salesforce partner, adding $10,000–$100,000+ in services cost before the first team member is productive.
- HubSpot: The free CRM is a genuine entry point, but the jump to Professional tiers is steep. Marketing Hub Professional is significantly more expensive per seat than the basic CRM. Mandatory onboarding fees apply at enterprise tier. Running Marketing, Sales, and Service Hubs together creates a compound cost that surprises most buyers.
- Pipedrive: Per-seat pricing is reasonable, but Pipedrive covers only the sales pipeline. Most businesses running Pipedrive also pay for separate email marketing, invoicing, and support tools — the total-stack cost is often 2–3× the Pipedrive subscription alone.
- Zoho: Individual app pricing is affordable, but Zoho One (the full suite) is a different pricing model. The suite's 40+ apps are separate products with separate interfaces, which means integration and maintenance overhead that doesn't appear on the pricing page.
Real-World Cost Scenario: 15-Person Business
Annual cost comparison — 15 users, core business functions (CRM + marketing + support + invoicing)
Salesforce (CRM + Service Cloud + Marketing Cloud)$45,000–$90,000+
HubSpot (Sales + Marketing + Service Hubs, Professional)$25,000–$45,000+
Pipedrive + separate marketing + invoicing tools$6,000–$12,000+
Zoho One (15 users)~$6,660/year
Response365 (14 primary + 1 additional, annual)~€2,617/year
The Pipedrive and Zoho numbers look competitive until you account for the additional tools needed for complete business operations. Response365's unified pricing — one subscription for CRM, marketing, support, invoicing, and supply chain — removes the tool-stacking cost that pushes comparable configurations significantly higher.
The Basics Plan: Entry Point for Solo Operators
Response365 offers a Basics plan for solo operators and very small teams who need core CRM functionality without the full platform. This removes the previous barrier of "enterprise only" that was often cited as a reason to choose a lighter tool. Full pricing details and a Basics plan comparison are available on the Response365 site.
Our Pricing Verdict
For businesses that need more than a pipeline tracker, Response365 offers the strongest price-to-capability ratio in this comparison. The €14.99 primary user rate covers a unified platform that replaces the typical 6–8 tool stack. If you only need a sales pipeline, Pipedrive at ~$14/user is the leanest option. If you're at enterprise scale with an IT team and an SI budget, Salesforce's depth justifies the cost.
